Procedures for Copy-Cataloging Periodical/Monographic Series

1. Guidelines
A. An item issued as a periodical /part of a monographic series is cataloged
under the periodical/monographic series title as an added volume;
B. If the individual issue of the monographic series has its own additional title
which is related to its own subject contents, it is cataloged under individual
title and use the same call number for the other issues of the same
monographic series title, so that they are in the same location on the shelf in
the collection.
C. Make links between the ceased/continued publications with/without
the same title.
D. Make a link between the electronic version and printed version of the same
publication.
II. Procedures
A For an item which is a periodical:
a) Export a bibliographic record from WorldCat for the periodical and import it
into Voyager Catalog Module;
b) Create a holding record as follows:

c) No field 866 is needed, each current issue is checked in the Voyager Serials
Module.
d) Send the periodicals to the Serials Division for shelving.
B. For an item which is a part of the same monographic series with the same
title as the series title
a) Export a bibliographic record of the monographic series from WorldCat to be
used for all the issues under the series title and import it into Voyager
Cataloging Module;
b) Create a holdings record as follows:

$a enumeration/chronologic information, e.g. volume/part/year/edition numbers etc.

c) Create an item record with correct barcode, location code and item type for
each individual issue; .
d) Physically process each issue as a book with same call number but
different enumeration/chronologic information.
C. For an item which is a part of a monographic series and has its own additional
title, it is cataloged under its own title as a monographic book and uses the
same call number as used for other individual issues in the same
series(i.e .different bibliographic records for the same monographic series and
use the same call number with the different enumeration/chronologic
information ):
a) Export a bibliographic record under each issue’s title from WorldCat and
import it into Voyager Cataloging Module.
b) Create a holding record as follows (No field 866 is needed):

c) Create an item record with correct barcode, location code as well as the
item type information.
d) physically process the item with the same call number as for the
other items under the same series, and with the different
enumeration/chronologic information copied from the individual issue.
D. For bound periodicals:
a) Use the same bibliographic record as the one used for the individual issue
of the periodicals
b) Change the second indicator in field 852 from 0 to 1 and add another
subfield $z for bound periodicals);
c) Create a field 866 in the holding record:

d) Create an item record with correct barcodes, location code as well as the item type information.
e) Send bound volumes to the Serials Division for shelving.
E. For the ceased/continued periodicals
a) When the periodicals is ceased, add a succeeding entry field 785 in the
record of the preceding periodicals (ceased periodicals) in Voyager
Cataloging Module by the Cataloging Librarian.
b) Import a bibliographic record for the succeeding periodicals(continued
periodicals from WorldCat and import it into Voyager Cataloging Module.
c) Add a preceding entry field 780 in the record of the succeeding
periodicals(continued periodicals) in Voyager Cataloging Module by the
Cataloging Librarian.
d) Send the succeeding periodicals to the Serials Division for shelving.
F. For the electronic version of the periodicals
a) Use the same bibliographic record as the one for the print version of the periodicals.
b) Create a holding record as follows:
